Invoicing business customers from the till and online shop
Author: Matti Toorikka, Head of SalesUpdated
At the end of the month a business customer's receipts are collected from the till, online orders from another system and eVoucher redemptions from a third. Then everything is typed onto an invoice by hand. In Solmio the till's and online shop's invoice sales are in the same view, and one combined invoice goes out. This guide explains how it works.
Who invoicing suits
Invoicing business customers suits anyone selling to companies without immediate payment. A lunch restaurant invoices the office next door for lunches monthly. Fair catering invoices exhibitors for stand catering after the event. An event organiser invoices a company for food vouchers bought for its staff.
Selling on invoice at the till and online
At the till the sale is recorded on the Invoice payment method, and a customer is chosen for the receipt. In the online shop a company orders on invoice when invoicing is allowed for it and the person ordering has logged in with a company account. The order can carry its own reference, which goes on the invoice.
Invoicing permission is set on the customer card. The card also shows the company's business ID and customer number, and its invoicing tab lists all invoices sent to the customer.
All invoice sales in one view
The portal's Invoicing page gathers the till's and online shop's open invoice sales for the chosen period. You can invoice individual rows or gather them into combined invoices.
In combined invoicing you choose the source, the till, the online shop or both, and the grouping:
- Customer: one invoice per customer for the whole period.
- Customer and event: a separate invoice for each event, for example a fair.
- Customer and day: a separate invoice for each day.
In the preview you check the groups and fill in references. The selected groups go out as separate invoices. An invoiced row isn't included in the next sending.
eVouchers: ordered or used
When a company orders eVouchers on invoice, you choose the invoicing basis. Ordered invoices the whole ordered quantity. Used invoices only the vouchers redeemed at the till.
The used basis suits, for example, an event where a company orders lunch vouchers for all its staff but pays only for the lunches eaten. The preview shows redemptions as 62/100, and the basis can be changed per product.
The invoice goes to your financial management system
From Solmio, invoices go straight to Netvisor, Fennoa or Procountor. If you use another system, invoices can be sent there through HTTP invoicing. Solmio products are linked once to the products in your financial system, and later invoices use the same links. Besides invoices, Netvisor and Fennoa also take till sales into the accounts.
If sending fails, the job details show why. After the fix the same invoice is sent again without the customer getting a duplicate.
When invoice sales show in reports
An online order on invoice and an eVoucher sold on invoice are recorded as Solmio till sales when the combined invoice is sent. After that they show in the same reports as other sales.
Getting started
- Connect an invoicing channel on the Integrations page: Netvisor, Fennoa, Procountor or HTTP invoicing.
- Create or sync customers and allow invoicing for those who order on invoice.
- Enable the Invoice payment method in the till and invoicing for the online shop's business customers.
- Fetch sales for a test period and send your first combined invoice.

Frequently asked questions
Where do invoices go?
To Netvisor, Fennoa or Procountor. Invoices can go to any other system through HTTP invoicing. The channel is connected on the portal's Integrations page.
Can I invoice till and online shop sales on the same invoice?
Yes. In combined invoicing the source is the till, the online shop or both, and rows are grouped by customer, customer and event, or customer and day.
Can the same row be invoiced twice?
No. An invoiced row is marked and isn't included in the next sending. If sending fails, the same invoice is retried without creating a duplicate.
Are eVouchers invoiced by ordered or used quantity?
You choose. Ordered invoices the whole ordered quantity, used only the redeemed vouchers. The basis can be changed per product in the preview.
Who can order on invoice?
A customer whose customer card allows invoicing. In the online shop, ordering on invoice also requires logging in with a company account.
